1. About this Privacy Policy
This Privacy Policy explains how PropertyStack Software Pty Ltd (ABN 91 674 505 821, ACN 674 505 821) and its related entities ("PropertyStack", "we", "us", "our") collect, use, disclose,store and protect personal information.

We are based in Brisbane, Australia, and we are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). The Services are offered to businesses in Australia. If you access the Services from outside Australia, see Section 9.
In this policy, "personal information" means information or an opinion about an identified individual, or an individual who is reasonably identifiable.
2. Two kinds of data: what we're responsible for, and what we handle for our customers
Information we are responsible for We decide how and why information is handled when we deal with: visitors to our Website; people who contact us or request a demo; our customers and the individual users who hold PropertyStack accounts (such as property managers, agency staff and contractors); and our own marketing, billing and business operations. This Privacy Policy governs all of that.
Information we handle on behalf of our customers. Our customers are property management businesses. They use the Platform to run their own operations, and in doing so they upload and generate information about their guests, property owners, tenants, suppliers and staff (“Customer Data”). For Customer Data, our customer decides how it is used and PropertyStack handles it on their instructions under our customer agreement.
If you are a guest, owner, tenant or contractor of a business that uses PropertyStack and you have a question about information that business holds about you, please contact that business directly — they are responsible for it. We will help them respond to you. Our handling of Customer Data is described at a high level in Section 4.4.

When you use the Website or Platform, we automatically collect:

We may receive information about you from integration partners and connected services you authorise; business-data and enrichment providers used for sales and marketing; referrals and publicly available sources (such as business registries and professional networking sites); and the service providers who help us run the Services.
4.4 Customer Data (handled on behalf of our customers)
When our customers use the Platform, the Services process information about their contacts — for example, guest names and contact details, reservation and stay information, property owner and tenant details, contractor details, messaging logs, smart-lock access codes, and financial and trust-account records.
We process this data on our customers’ instructions to deliver the Platform. We do not use it for our own purposes except as needed to operate, secure and improve the Services, or as required by law. If you are an individual whose data sits in the Platform, see Section 2 for who to contact.
4.5 Payment and banking information
Our in-platform payments feature, PS Pay, is powered by our payment provider, Kovena, and presented under the PropertyStack brand. Your card and account details are handled by Kovena under its own terms and security standards. We receive the transaction and status information needed to operate billing and the Platform’s financial features. For trust-accounting and reconciliation features, we use bank-feed and open-banking providers to retrieve the account information you authorise.

We generally do not seek to collect “sensitive information” (such as health, racial or ethnic, or biometric information). Where we do, we will only collect it with your consent or as otherwise permitted by law.

We only use your personal information for the purposes for which it was collected, for related purposes you would reasonably expect, or as otherwise permitted by law or with your consent.
6. Artificial intelligence and automated features
The PropertyStack Platform includes AI-powered features and automated workflows — for example, AI-assisted guest and owner communications, message classification, drafting, summarisation and operational automation.
You control the level of automation. Our customers choose how each AI feature operates:
Where a property management business has switched a feature to auto mode, messages you receive may be generated and sent by AI on that business’s behalf.
No solely automated decisions with significant effects. We do not use these features to make decisions that have legal effects, or similarly significant effects, on you based solely on automated processing. You can ask us to have a person review a decision or communication that significantly affects you by contacting support@propertystack.ai.
Australian transparency reforms (from 10 December 2026). New transparency requirements under the Privacy Act 1988 (Cth) take effect on 10 December 2026 for automated decisions that could reasonably be expected to significantly affect an individual’s rights or interests. We will update this section before that date to describe any such decision-making and the personal information involved.
AI and your data. PropertyStack does not sell your information and does not use Customer Data to train our own general-purpose AI models. The Platform’s AI features are delivered using the third-party AI providers listed in Section 8, which process data to return results to us and handle it under their own terms.
7. Cookies and similar technologies
We use cookies, pixels and similar technologies to operate the Website and Platform, keep you signed in, remember your preferences, measure performance, and understand and improve how the Services are used. We use:
You can control cookies through your browser settings and through any cookie preferences we make available. You can also opt out of interest-based advertising through the settings offered by Meta and other ad platforms. Blocking some cookies may affect how the Services work.
8. How we share and disclose information
We do not sell or rent your personal information.
We share information with the service providers that help us run the Services. They are bound by contract to protect your information and to use it only to provide services to us. Our key providers are:
We may update this list as our providers change. We may also disclose information to professional advisers (legal, accounting, insurance) under confidentiality obligations; to authorities and others where required or permitted by law, to enforce our agreements, or to protect the rights, safety and property of PropertyStack, our customers or others; and in connection with a merger, acquisition, financing or sale of assets, subject to this Policy continuing to apply.
For Customer Data, we disclose information only as instructed by our customer or as permitted under our customer agreement.
9. Overseas storage and access
Your personal information is stored mainly in Australia. However, some of our service providers, and members of our engineering team, are located overseas — including in the United States (for certain platform, communications, advertising and AI providers) and Nepal (where part of our engineering team works). This means your information may be stored or accessed outside Australia.
Before disclosing personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the APPs, including by imposing contractual confidentiality and security obligations on our providers.
If you access the Services from outside Australia, please be aware that your information is handled under Australian law. If you are located in a jurisdiction that gives you additional privacy rights (for example, the European Union, the United Kingdom or certain US states), you may contact us at support@propertystack.ai and we will consider your request in line with those laws.
10. How long we keep your information
We keep personal information only as long as we need it for the purposes in this Policy:
We may keep information longer where required to comply with the law, resolve disputes or enforce our agreements. When information is no longer required, we take reasonable steps to delete or de-identify it. Customer Data is retained, returned or deleted in accordance with our customer agreement.
11. How we protect your information
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include encryption of data in transit and at rest, access controls on a least-privilege basis, network security, logging and monitoring, secure software-development practices, vendor due diligence, and staff training.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential and for notifying us of any suspected unauthorised use of your account.
12. Direct marketing
With your consent or where otherwise permitted by law (including the Spam Act 2003 (Cth)), we may send you marketing communications about our Services. You can opt out at any time using the unsubscribe link in our emails or by contacting support@propertystack.ai. We will still send you non-promotional service messages, such as security, billing and account notices.

There is generally no charge, and we will not treat you unfavourably for exercising your rights. If we cannot give you access or make a correction, we will explain why.
14. Children’s privacy
The Services are intended for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to delete it.
15. Third-party links and services
The Website and Platform may link to or integrate with third-party sites and services. We are not responsible for their privacy practices, and we encourage you to review their privacy policies.
16. Data breaches and how to make a complaint
We maintain a data breach response plan. Where a breach is likely to result in serious harm, we will notify the Office of the Australian Information Commissioner (OAIC) and affected individuals as required under the Notifiable Data Breaches scheme.

We may update this Privacy Policy from time to time. We will post the updated version here with a revised “Last updated” date and, where the changes are material, take additional steps to notify you.
